Privacy Policy

FleetLeave collects the following categories of information:

• Demo and contact form data: name, work email, phone number, company name, job title, and the operational details you choose to share (employee count, number of drivers, number of locations, current PTO process, payroll or time-tracking systems, and your message).
• Product account data: for customers using the FleetLeave application, this includes employee records, organization structure, and login credentials (stored as one-way cryptographic hashes, never as plain text).
• Employee PTO data: for customers using the FleetLeave application, this includes PTO requests, balances, accrual history, approval decisions, and related notes, entered by the customer organization and its authorized users.
• Usage data: pages visited, buttons clicked, and general engagement on this website, collected in a privacy-conscious way — see our analytics approach below.
• Authentication information: session tokens and device identifiers needed to keep you signed in securely, described further in our security documentation.
• Notification data: records of in-app and email notifications sent as part of normal product operation (e.g., a request was approved).

We use demo and contact form data to respond to your inquiry, follow up about scheduling a demo, and understand the operational needs of prospective customers. We use product account and PTO data solely to operate the FleetLeave application on behalf of the customer organization that entered it — we do not use one customer's data for another's benefit, and we do not sell personal information.

This website uses a privacy-conscious, first-party analytics approach: page views and interactions (like clicking a “Book a Demo” button) are recorded without tracking the contents of any form field. We do not use third-party advertising trackers. If a third-party analytics provider is enabled in the future, this policy will be updated to reflect it before that provider is turned on.

We use a small number of infrastructure providers to operate FleetLeave — for example, hosting and database infrastructure, and email delivery for notifications and demo confirmations. These providers process data only as necessary to provide their service to us and are not authorized to use it for their own purposes.

Demo and contact requests are retained for as long as reasonably necessary to respond to your inquiry and maintain accurate sales records, or until you ask us to delete them. Product account and PTO data is retained for the duration of a customer's use of FleetLeave, consistent with the customer organization's own record- keeping and legal obligations.

FleetLeave is designed with role-based access control, organization-level data isolation, secure credential storage, server-side authorization checks, audit logging, and session controls. Details are in our product security documentation. No system is perfectly secure, and we do not claim a specific security certification (such as SOC 2, HIPAA, or ISO) unless and until that certification has actually been obtained.

You may ask us what personal information we hold about you, request a copy of it, request correction, or request deletion, subject to legitimate business and legal record-keeping needs. Contact us using the details below to make a request.

FleetLeave is currently operated for U.S.-based logistics and transportation companies, and our infrastructure is hosted in the United States. If this changes, we will update this policy to describe any relevant international data transfer considerations.
